Which export documents are required?
Depending on the product category, destination country and agreed INCOTERMS, certain export documents are mandatory. Here is an overview of the most common documents when exporting Brazilian raw materials:
1. Commercial invoice
- Contains all relevant information about the goods: quantity, price, product description, HS code, agreed INCOTERMS and bank details.
- Must comply exactly with LOI, ICPO and SPA.
- Language: English or bilingual (Portuguese/English).
2. Packing List
- Detailed list of goods per bundle, pallet or container – including dimensions, weight and packaging units.
- Important for transport logistics, loading and customs clearance.
3. Certificate of Origin
- Confirms the origin of the goods – often required for tariff preferences or trade agreements.
- Issued by authorized bodies such as FIEB, FIESP or CNI.
- In some cases consular legalization.
4. Health and phytosanitary certificates
- Mandatory for agricultural products, wood, food and animal products.
- Issued by MAPA (Ministry of Agriculture), Anvisa or certified laboratories.
- Must meet the specific import requirements of the destination country.
5. Laboratory analyses / Quality certificates
- Proof of ingredients, residues, technical specifications or purity.
- Required for foodstuffs and recommended for industrial raw materials.
- Issued by the manufacturer or independent test laboratories.
6. Bill of Lading / Air Waybill
- Proof of transportation and transfer of ownership.
- Contains information on the sender, recipient, transport route, freight port and agreed INCOTERMS.
- Issued by the commissioned forwarding agent or shipping company.
7. Insurance Certificate
- Mandatory for CIF or CIP delivery conditions.
- Documents the insured value, scope of cover and period.
- Important for protection against transportation risks.
Export release and export registration (Registro de Exportação)
Every export of goods from Brazil requires official registration in the SISCOMEX system – the Brazilian government’s central export management system.
The goods may only be exported after successful approval by customs and the authorities.
Keeping an eye on country-specific requirements
Import regulations vary depending on the target market. VALIA will check all necessary special requirements for you:
